Custom Printed Paper Cups: A Wholesale Quote Checklist

What should you send for a custom paper cup quote? Start with the drink, cup size and construction, quantity per size and design, lid requirement, artwork and delivery destination. Ask for cups, lids, printing setup, packing and freight to be identified separately so that competing offers describe the same order.
This checklist is for buyers preparing a wholesale inquiry, not a price list. MOQ, production time, available materials and packing must be confirmed for the selected item and artwork.
Prepare one specification for each cup and design
A request for "100,000 printed cups" leaves important questions open. Is that one size with one logo, or several sizes and designs? Give the quantity for each combination and identify which details are fixed and which you would like the supplier to recommend.
- Use: beverage, hot or cold service, expected filling temperature and holding time.
- Cup: product link or reference sample, nominal capacity and the dimensions you need.
- Construction: single, double or ripple wall; paper appearance and any specified lining.
- Accessories: lid style and quantity, sleeve or carrier, and any existing component that must fit.
- Artwork: number of designs, logo files, brand colors and where the design will appear.
- Order: pieces per size and design, packing requirements, destination and requested delivery date.

Request the exact artwork template before final design
Ask for the dieline for the selected cup and wall construction. Keep the original editable logo and provide a vector file when available. Confirm the printer's accepted file format, font handling, color system, seam position and required clearances. Do not apply another supplier's bleed or safe-area measurements to a different cup.
As an industry reference, Memo Cups' artwork guidelines distinguish vector artwork, color setup and safe zones. Their numerical specifications apply to their printing process; LEMI project settings should be confirmed with the quotation.
Approve spelling, logo placement and artwork version on the proof. If color or surface appearance is critical, ask what physical sample or print reference can be provided and whether it carries an additional charge. A screen preview alone does not establish a production color tolerance.
Compare quotations on the same basis
- Cups and lids: identify separate quantities, item codes and whether the quoted price includes both.
- Printing: ask whether setup, plates, artwork preparation or additional designs are separate charges.
- MOQ: confirm whether the minimum applies per cup size, print design or production run.
- Packing: request pieces per carton, carton dimensions and gross weight for the agreed configuration.
- Delivery: state the destination and request an explicit shipping basis and list of included and excluded charges.
- Timing: distinguish sample preparation, artwork approval, production and shipping. A requested arrival date is not a confirmed delivery promise.
A lower cup unit price may exclude lids or printing setup. Before comparing totals, make sure quantities and inclusions match. Do not compare an unprinted stock item directly with a custom-printed, packed and delivered order.

What if the size or artwork is not final?
You can send an initial inquiry with a reference image, intended drink, estimated quantity and destination. Mark undecided details as "please recommend". Ask for assumptions to be written into the offer, then approve the final specification before placing the order. Do not substitute an unconfirmed material or lid to meet a target price.
